Computerized information is maintained on all University-owned equipment with a purchase cost of $500.00 or more and expected life of one or more years. Such items as permanent fixtures of buildings and supply or expendable items are excluded. Every item of University-owned equipment meeting the criteria above is assigned a University inventory number and entered on a computerized inventory listing, by owning department including physical location. In those cases where the location of an inventoried item permanently changes, or the item is lost, stolen or becomes obsolete, the Department Head is required to complete an Equipment/Transfer/Disposal Form and send the form to the Fixed Assets section of the Purchasing Department. When Facilities Management's assistance is needed to move inventoried University equipment, an approved copy of the Equipment/Transfer/Disposal Form will be forwarded to Facilities Management by Fixed Assets. A physical inventory is taken by the Fixed Assets section on a continuing basis with each department being covered approximately every twelve months. Upon request the department will be provided with a current listing of their equipment so that internal checks may be made. |
